The "To" Field

This is the most straightforward field. Use it for the primary recipients of your email. These are the people who the message directly affects and from whom you most likely expect a response.

  • When to Use: You're sending a project update to your team members who are actively working on it.

The "CC" (Carbon Copy) Field

The "CC" field is for anyone who needs to be kept in the loop, but isn't the main audience. Everyone can see who is in the "To" and "CC" fields. You don't typically expect a direct reply from someone you CC.

  • When to Use: You are emailing your team (in the "To" field) about a project milestone and you CC your manager to keep them informed of the progress.

The "BCC" (Blind Carbon Copy) Field

This is the trickiest field, and it's all about privacy. When you add someone to "BCC," they get a copy of the email, but no other recipient can see their name or email address.

This is crucial for protecting people's information.

  • Use Case 1 (Privacy): You are sending a newsletter or an announcement to a large group of people who don't know each other. Using BCC protects their email addresses from being exposed to everyone else on the list.
  • Use Case 2 (Discretion): You are replying to a customer complaint and want your manager to see the email without the customer knowing. You would put your manager in the BCC field.
